How to dictate in Microsoft Teams
when desktop has no built-in dictation

Microsoft Teams desktop does not include a dictation control for composing chats. Use Windows voice typing with Win+H or macOS Dictation in the message box, or WhisperJot's global hotkey to insert cleaned-up text at the cursor. Meeting transcription records a call; it does not type a message for you.

Native options

No built-in dictation in Microsoft Teams

Microsoft Teams desktop does not have a built-in dictation feature for composing messages. A Microsoft moderator on Microsoft Q&A (24 May 2024) pointed people to Windows voice typing or to dictating elsewhere and pasting. Voice messages can be recorded only in the mobile app; desktop can play them. Meeting transcription (More actions > Start transcription) captures what participants say in a call, not text you compose. For typed dictation, use macOS Dictation, Windows voice typing, or a system-wide tool such as WhisperJot. The Windows path uses Microsoft's online speech recognition and needs internet.

One hotkey across apps

Dictate in Microsoft Teams with WhisperJot

  1. Install WhisperJot, open Microsoft Teams, and click in the chat, channel, or reply field where the text should go.
  2. Press ⌥Space on macOS or Ctrl+Alt+Space on Windows and Linux; on a Mac, holding fn is another way to dictate.
  3. Speak while live partials appear in the floating HUD, then stop so WhisperJot inserts the punctuated result in Teams.
  4. Review the message and send it from Teams; optional spoken “press enter” can send after insertion, and no Teams add-on is required.

Typed chats, not call transcripts

WhisperJot writes into the focused Teams compose box so you get editable text, rather than a meeting transcript of other people speaking.

A casual tone for chat

Per-app tone can keep Teams copy conversational even when email or documents in the same workflow use a more formal setting.

One hotkey, no plugin

The same desktop shortcut types into whichever app has focus, so there is no Teams integration to install or approve.

Private by default locally

With the local engines selected, transcription runs on-device by default and can work offline after a one-time model download (about 500 MB on Mac, around 600 MB on Windows and Linux). Jot Cloud is opt-in.

Questions

Straight answers.

Does Microsoft Teams have built-in dictation on desktop?

No. A Microsoft moderator stated on 24 May 2024 that Teams desktop does not have a built-in dictation feature. Suggested workarounds are Windows voice typing with Win+H, or dictating in another app and pasting. Voice messages can be recorded only in the mobile app, though desktop can play them. Meeting transcription is a separate call feature, not compose dictation.

How do I dictate a Teams message on Windows or Mac?

On Windows, click in the Teams message box, press Win+H, wait for “Listening…”, speak, then choose Stop listening. Voice typing uses Microsoft's online speech recognition, so internet is required; auto-punctuation is a gear-menu toggle. On a Mac, turn on System Settings > Keyboard > Dictation, start with the Dictation shortcut or Edit > Start Dictation, and stop with Esc. WhisperJot is another global-hotkey option in the same field.

Is Teams meeting transcription the same as dictating a chat?

No. Meeting transcription is started from More actions > Start transcription and captures what participants say during a call. It does not enter text into a chat compose box. Desktop Teams also cannot record voice messages; that workflow exists on mobile, while desktop can play them. For typed dictation you need OS voice input or a system-wide dictation tool.

Can WhisperJot insert text into Microsoft Teams chats?

Yes. Place the cursor in a Teams chat, channel, or reply field, press the WhisperJot hotkey, speak, and the finished text is inserted where you were typing. Local engines process speech on-device by default and can run offline after the first model download. You can assign Teams a casual per-app tone and optionally use spoken “press enter” to send.
