Check names and numbers in dictated text

Use vocabulary for recurring names, but verify exact identifiers and figures against their written source. Dictate surrounding prose, then paste or check order numbers, addresses and dates separately. A fluent transcript can still contain the wrong person, amount or reference.

Classify what needs to be exact

Choose the method by the cost of a wrong character. Dictation can save time on the explanation while direct copying preserves a reference string. Avoid treating recognition confidence or a smooth sentence as evidence that a value is correct.

Test vocabulary with ordinary sentences

  1. Find one name that you repeatedly correct.
  2. Add its intended spelling to Words in Vocabulary & Shortcuts, with a sounds-like variant if appropriate.
  3. Dictate several sentences containing the name and a few without it.
  4. Check whether the intended name improves without changing unrelated words.
  5. Revise or remove an entry that introduces new errors.

Review figures in a separate pass

After reviewing the meaning, inspect every number and its unit. Check decimal placement, minus signs, ranges and whether a value is a quantity or an identifier. Preserve leading zeros in reference strings when the source contains them.

For example, an authored reference such as AB-0042 should remain exactly that string if it identifies a record. A date such as 03/04 needs context before you rewrite it as a named month. Make these editorial decisions from the source, not from what the model happened to output.

Keep cleanup from hiding a changed detail

None cleanup still applies vocabulary and shortcuts in the documented pipeline; it is not a switch that disables every transformation. Review the final text even when you choose a rawer transcript. For a recurring issue, record the engine, language, cleanup level and intended spelling so you can reproduce it.

  1. Keep the original record visible while checking the final inserted text.
  2. Review names and figures again after any rewrite or cleanup you apply.
  3. Paste exact strings after drafting the surrounding prose when that is easier to verify.
  4. Check the finished destination field before saving or sending.

Should I dictate a long account or order number?

Copy it from the source when possible and verify it in the final field. You can dictate the surrounding prose while preserving the exact identifier separately.

Will a vocabulary entry guarantee the right name?

No. Test it in context and review the final output. Vocabulary can help with recurring terms but does not verify that the person or record is the one you intended.
