Transcribe the voice note, check the wording, then manually separate decisions, actions and open questions. Give each action a concrete next step and an owner or an explicit unassigned marker. Make a checked transcript first
On Mac, import a saved recording through Transcribe Audio File and review the text in History. You can also play the note and type a transcript yourself. If you are capturing a fresh thought, dictate directly into an editable note and check it before reorganizing.
Keep the transcript alongside the edited task list. A rambling note may contain an idea, a question and a commitment in the same paragraph. Converting all three into assigned tasks can create work nobody agreed to do.
Sort the note by what was actually said
Notice that the client send is conditional. The workshop has no agreed date. Preserve both facts rather than converting the whole note into firm promises. Resolve relative dates against when the note was recorded before entering a calendar date.
Spoken note: I need to ask Maya whether the revised outline is ready. If it is, I can send it to the client on Friday. We also talked about a workshop, but no date was agreed. Action: Ask Maya whether the revised outline is ready. Owner: me. Due: [choose a date]. Conditional next step: Send the outline on Friday only if it is ready. Open question: Should we schedule a workshop? Date: not agreed.
Fill in only the fields you know
- Copy each checked action into your preferred task app.
- Set owner, date and status using that app's controls.
- Link the original note if useful and appropriate for the audience.
- Review the final list for duplicate or contradictory tasks.

Keep the list short enough to use
Merge repeated mentions of the same action. Keep background discussion in the note rather than in every task title. If a task contains several independent outcomes, split it so each can be completed and reviewed separately.
Speaking an assignee's name does not assign work in a task system. Similarly, dictating a date does not create a reminder. Confirm the actual fields after text insertion, and check whether other people can access any attached transcript before sharing it.
