Word dictation not working?
Start with the button's state

If Dictate is missing, first verify your active Microsoft 365 subscription and sign-in. If it is grayed out, check whether the document is in Read-Only mode. Those are Microsoft's documented starting points for these symptoms. A microphone permission problem, muted input or unreliable internet calls for a different check; there is no single documented leading cause.

Before you start

  • Sign in to Microsoft 365 with an active subscription on a microphone-enabled device.
  • A reliable internet connection and a supported spoken language.
  • On Windows, Windows 10 or above. Office 2016 or 2019 for Windows without Microsoft 365 does not include Dictate.

Checks to try in order

  1. Check eligibility and sign-in. Verify an active Microsoft 365 subscription and sign in. On Windows, use Windows 10 or above. Look for Home tab > Dictate.
  2. Check document editing mode. If the Dictate button is grayed out, make sure the document is not in Read-Only mode.
  3. Release and allow the microphone. Make sure no other application or web page is using the microphone. In Word for the web, refresh and grant microphone permission when prompted.
  4. Test the connected microphone. Make sure the microphone is plugged in, test it and check its settings in Control Panel on Windows.
  5. Make your voice audible. Unmute the microphone, adjust the input level and reduce background noise. Try an external microphone if Word cannot hear you.
  6. Check connection and speech quality. Use a fast, reliable internet connection, eliminate background noise and speak deliberately. Check microphone quality if recognition remains inaccurate.
  7. Review Dictate settings. Open the gear on the Dictate toolbar and check Spoken Language and Microphone. Select the language you are speaking and the microphone you intend to use.
