Draft Zendesk replies by voice

Select the ticket and choose Public reply or Internal note before dictating into Zendesk's composer. State the issue, the verified next step, and what you need from the reader. Review the audience and ticket details before submitting the update.

Choose the audience first

Zendesk distinguishes public replies and internal notes. Agent Workspace maintains drafts for separate channels, so switching modes is not a reliable way to move a draft between audiences. Check the selected mode each time you return to the ticket.

  1. Open the correct ticket and read the latest customer message.
  2. Select the intended reply mode, then click the composer body.
  3. Dictate one short paragraph and confirm it appears in the intended draft.

Explain a verified next step

Use the example as a structure, not as a diagnosis for every ticket. Confirm the facts you repeat from the customer and ask only for information relevant to the next check. Keep unverified internal theories out of a customer-facing explanation.

Check the final update

WhisperJot inserts text into the composer. It does not select the audience, apply ticket status, or verify refund eligibility. A local transcription engine also does not change how Zendesk stores the resulting ticket content.

  1. Verify customer names, product names, links, and any date or commitment.
  2. Check whether a macro or shortcut inserted stale placeholders or changed other ticket properties.
  3. Confirm the reply mode and intended recipients again, select the appropriate ticket status, and submit using Zendesk's control.

Questions

Can a text shortcut replace a Zendesk macro?

It can insert a repeated passage, but a Zendesk macro can also change ticket properties. Review those actions separately instead of assuming a spoken snippet reproduces them.

Does local dictation keep a public reply private?

No. Local describes the speech-to-text stage. Zendesk's selected channel and access rules determine who can see submitted content.
