Use spoken shortcuts for repeated text

A spoken text shortcut expands a chosen phrase into saved text. It is useful for repeated introductions, headings, or response structures. WhisperJot keeps these expansions separate from vocabulary words, which help with spelling. A shortcut inserts text; it does not perform the task described by that text.

Pick a repeatable passage

Choose text whose structure repeats even when details change. Keep uncertain dates or account details as explicit placeholders so you notice them during review. A shortcut should remove repetitive typing without hiding a decision.

Create and test one expansion

  1. Open Vocabulary & Shortcuts and create a Shortcut entry with a distinctive spoken trigger.
  2. Enter the replacement text and save it. Avoid a trigger that commonly appears in normal prose.
  3. Speak the trigger in a scratch document. Check that the expansion lands once and has the expected formatting.
  4. Try a sentence containing a similar phrase to check for unwanted expansion before using it in customer-facing work.

Know the limits of a saved snippet

The documented matching is whole-word and case-insensitive. Shortcuts still apply at cleanup level None. Supported placeholders include {date}, {time}, and {clipboard}; the clipboard placeholder uses the current clipboard contents, not an automatically selected record.

Try dynamic placeholders with harmless text first. They cannot determine whether an amount is correct or whether a promised attachment exists. Later cleanup can also change wording, so review the inserted result at the cleanup level you normally use.

Questions

Can a shortcut create a task or send an email?

A text shortcut expands text in the focused field. Creating a task, selecting an account, or sending a message uses the destination app's controls and is not implied by the expansion.

Should I use a Word or a Shortcut?

Use a Word for a name or term you want spelled correctly. Use a Shortcut when a deliberate trigger should expand into a longer saved passage.
